About the Project Coordinator position:

The Marketing and Communications department at the Jewish Federation of Cleveland seeks a team-centric professional with great project management skills to help manage and track through completion the diverse and ever-increasing flow of demands being placed on its dynamic Marketing & Communications team.

This will include but not be limited to: running the team’s project management software system; coordinating with in-house print shop and third-party vendors; handling advertising buys; and miscellaneous event support. Additionally, this professional will provide administrative support for the Chief Information Officer (CIO) and Chief Marketing Officer (CMO).

This unique position requires a highly motivated professional who is extremely organized, detail-oriented, able to juggle multiple tasks simultaneously, adept at building and tracking production schedules, and has the interpersonal skills to help resolve scheduling conflicts and bandwidth limitations in order to manage expectations effectively as you interact with people from across the organization.

The Project Coordinator reports to the Managing Director, Marketing Operations.

Essential Job Functions:

Project Coordination (75%)

  1. In-take of all briefs entered into the department’s project management system, including flagging those that need more input from the colleague or consideration by department leadership.
  2. Create and manage an effective and efficient production schedule.
  3. Manage deadlines and timeline expectations.
  4. Manage advertising calendar and budget.

Administrative Support (25%)

  1. Provide administrative support to CIO and CMO.
  2. Assist with logistics for department & governance meetings.
  3. Assist with management of department budgets.
Qualifications:
Knowledge, Skills, Abilities and Personal Characteristics:
  1. Prior relevant project management experience.
  2. Highly organized and detail oriented.
  3. Able to meet time-sensitive deadlines and excel in problem solving.
  4. Experience tracking and managing budgets.
  5. Experience with enterprise project management software such as Wrike or an equivalent.
  6. Comfortable using Microsoft Office Suite and Adobe Creative Suite.
  7. Self-motivated with ability to work independently and as part of a diverse team.
  8. Ability to juggle multiple assignments and deliver on time.
  9. Strong verbal and written communications.
Education, Training and/or Experience:
  1. BA required with formal training in marketing, communications, or related field preferred.
  2. Minimum three years of experience working in an office setting required; experience in advertising, marketing, or communications role preferred.
