About the Payroll Specialist position:

Part-time

Under general supervision of CFO, ensures accurate processing and recording of Federation’s payroll, and provides timely and accurate financial information, including all related reports and journal entries.

The Payroll Specialist is a part-time position working 32 hours a week, reports to the CFO and is part of a dedicated fiscal team. The ideal candidate has previous payroll experience and a familiarity with bookkeeping.

Essential Functions:
  1. Prepares and processes bi-monthly payroll.
  2. Prepares reports, reconciliations, and journal entries related to bi-monthly payroll.
  3. Processes new employees and salary changes in the payroll system.
  4. Manages benefit enrollment process.
  5. Addresses issues and questions regarding payroll from employees and superiors on a timely basis.
  6. Reviews payroll related invoices and distributes and approves expenses by entity.
  7. Maintains employee payroll files.
  8. Prepares census data for 403b and, Retirement Plan annually.
  9. Prepares correspondence, reports, and documents as needed.
  10. Interacts professionally on a regular basis with staff and vendors.
  11. Assumes additional responsibilities and performs special projects as needed or directed.
  12. Prepares data transmissions for HSA and 403b plan deposits.
  13. Opens and distributes mail twice/week.
  14. Other duties as assigned.
Essential Job Functions:
Knowledge, Skills, Abilities and Personal Characteristics:
  1. Experience with Microsoft Office applications, specifically Outlook, Excel and internet.
  2. Trustworthy with attention to confidentiality.
  3. Familiarity with legislation and regulations affecting payroll and related taxes.
  4. Demonstrated aptitude for new technology.
  5. Ability to maintain established recordkeeping system and office procedures.
  6. High attention to detail, follow-up, self-motivated, proactive and solution focused.
  7. Ability to express self effectively and concisely, both orally and in writing.
  8. Ability to tactfully and effectively deal with staff and vendors in a personable and professional manner.
  9. Ability to work independently with general direction.
  10. Ability to maintain a high level of energy and a consistent positive attitude.
  11. Willingness to schedule time off around payroll processing dates.
  12. Excellent math skills.
Education, Training and/or Experience:
  1. High school diploma or GED.
  2. Minimum of two years’ experience in payroll processing.
Preferred Qualifications:
  1. Associate’s Degree
  2. Previous administrative and bookkeeping experience.
  3. ADP Workforce Now experience, a plus.
